Refund and Cancellation Policy
This Refund and Cancellation Policy (the "Policy") governs all payments made through stacksos.org and the storefronts it hosts (the "Platform"). It forms part of, and is incorporated by reference into, the Terms of Service, and should be read together with them. Where the two documents cover the same subject they are written to say the same thing. If they ever conflict, this Policy governs refunds, credits and cancellations, and the Terms of Service govern everything else.
By ticking the agreement box and completing a purchase, submitting an application or an entry, or commencing a subscription through the Platform, you accept this Policy and the Terms of Service.
The short version, in plain words. The numbered sections below are what actually governs, but here is the shape of it:
- Applying for a vendor or sponsor spot places a hold on your card. A hold is not a charge. Approval captures it. Denial releases it, and a released hold is not a refund.
- Sales are final. A spot buys the space and the opportunity, not a result.
- Every vendor and sponsor booking carries our Event Delivery Money-Back Guarantee: if we do not deliver a service your booking lists by its deadline, you get your fee for that event back. Sales, leads, attendance and profits are not guaranteed. A vendor whose first event's sales come in under the booth fee gets a Repeat Event Booth Credit, which is a booth, not cash. Section 6A has the full terms.
- Damaged, misprinted or incorrect merchandise is replaced or refunded, if you tell us within 14 days of delivery.
- Subscriptions can be cancelled at any time by emailing us. Cancelling stops the next charge and does not refund the period you are in.
- If we cancel an event, you choose: your fee for that event back, or a credit of equal value toward a future one.
- If a charge looks wrong, email us first and give us seven days. Real mistakes get fixed quickly.
1. Definitions
- "Studio" means Streamline Studios of Phoenix, Arizona, the operator of the Platform and the seller of design work, subscription retainers, course content, merchandise and one-off services.
- "Organizer" means Stacks Productions of Phoenix, Arizona, the seller of event registrations, vendor spots and sponsorships offered through the Platform.
- "Seller", "we" and "us" mean the Studio or the Organizer, whichever sold you the product or service in question.
- "Authorization Hold" means a temporary authorization placed on a payment card that reserves funds with the card issuer without transferring them to the Seller.
- "Capture" means the step that converts an Authorization Hold into an actual charge.
- "Billing Period" means the recurring period, ordinarily one calendar month, for which a subscription is billed in advance.
2. Agreement by submission, and the record of it
Ticking the agreement box and submitting an application, an order, an entry, or a subscription is your agreement to this Policy and to the Terms of Service. No separate signature is required. That act is the acceptance, and it is recorded.
- 2.1 By submitting a vendor, sponsor or entry application, placing an order, purchasing a course lesson, or commencing a subscription through the Platform, you accept this Policy and the Terms of Service as they read on the date of that submission. Each version is identified by the "Last updated" date and version number at its head. The version of this Policy is 2026-10-21. The Seller retains the dated text of every version published.
- 2.2 This Policy is published in full, at all times, at stacksos.org/refund-policy/, is linked from the form you submit, and can be read in full before you submit anything.
- 2.3 The agreement box. Before a vendor or sponsor application can be sent, you must tick a box that is not ticked for you. The statement beside it reads:
Where the spot is paid for immediately rather than held, the same box reads:
"I have read and agree to the Terms of Service and the Refund Policy. I am the cardholder or I am authorized to use this card, everything I entered here is true, and I understand a hold is placed on my card now and charged only if my application is approved."
For a free car show entry, the box reads:"I have read and agree to the Terms of Service and the Refund Policy. I am the cardholder or I am authorized to use this card, everything I entered here is true, and I understand my card is charged now to lock this spot."
"I have read and agree to the Terms of Service and the Refund Policy, and everything I entered here is true and mine to enter."
- 2.4 The box is enforced on the Seller's servers, not only in the page. A submission that does not carry that agreement is refused, no application is created, and no hold is placed on any card. Every application whose record carries version 2026-09-10 or later therefore has an affirmative act of acceptance behind it.
- 2.5 By ticking that box and submitting, you represent and warrant that you are at least 18 years old, that the information you have given is true and complete, that you are the authorized holder or authorized user of the payment method you provide or have that holder's express permission to use it, and that where you submit on behalf of a business you have authority to bind that business.
- 2.6 The Platform records the acceptance and the payment authorization it creates, including the exact sentence shown to you and the version of this Policy and the Terms of Service that were live at that moment. Section 13 sets out the whole record. The acceptance record is appended, never edited and never deleted.
- 2.7 Electronic records. You consent to transact electronically and agree that your tick and your submission constitute your electronic signature, and that the records described in section 13 satisfy any requirement that an agreement be in writing and signed, to the fullest extent permitted by law. Section 1.7 of the Terms of Service states this in full.
3. Authorization holds on vendor and sponsor applications
Applying places a hold on your card. It is not a charge. Approval captures that hold and it becomes the charge. Denial releases it and nothing is charged.
- 3.1 Submitting a vendor or sponsor application places an Authorization Hold on your payment card for the price of the spot. No funds are transferred at the time of application.
- 3.2 You authorize that Authorization Hold at the moment you submit the application. The amount is displayed to you before you submit, and the sentence you tick says a hold is being placed. If you do not intend to authorize a hold on your card for that amount, do not submit an application.
- 3.3 The Authorization Hold is Captured, and your card charged, only if and when the Organizer approves your application. If your application is denied, the Authorization Hold is released and no charge is made.
- 3.4 The release of an Authorization Hold following denial is not a refund. It is the return of reserved funds that were never transferred, it is the intended operation of the application process, and it is not an admission that anything went wrong.
- 3.5 Authorization Holds have a limited lifetime set by the payment processor, currently seven days for cards processed by Stripe, and a shorter period, about three days, for orders placed under the Seller's former processor. If no decision is reached before the hold expires, the hold lapses and is released by the processor, and you may instead be sent a personal payment link to complete payment on approval. A spot is secured only once payment has been completed.
- 3.6 The timing of a hold's release on your statement is determined by your card issuer, not by the Seller, and the Seller cannot accelerate it. If it is still showing after your issuer's normal period, contact your issuer, and tell us as well so we can send you our record of the release.
- 3.7 If an Authorization Hold cannot be placed, the application is not submitted and no spot is reserved.
- 3.8 One application per business, per event. Submitting the same application repeatedly may place more than one hold. Tell us and we will release the duplicates.
4. Scope: all sales final
Except as expressly provided in this Policy or as required by applicable law, all sales are final. Payments for vendor spots, sponsorships, course lessons, one-off services and digital content delivered immediately are not refundable once made.
- 4.1 Course lessons are digital content delivered immediately upon purchase. By purchasing a lesson you request immediate delivery and acknowledge that, once the lesson has been unlocked, no refund is available.
- 4.2 Except where section 6A applies to an event service we did not deliver, approved vendor and sponsor spots are not refundable on account of non attendance, weather affecting attendance, the number of attendees, the sales you make or do not make, the presence of other vendors including vendors in the same category, spot placement, or any other circumstance within your control. What is sold is the spot and the opportunity, not a result.
- 4.3 One-off services are not refundable once work has commenced. Where a deposit is paid, the deposit is earned on commencement and is not refundable.
- 4.4 Merchandise is dealt with separately in section 7.
5. Non attendance, cancellation by you, and removal
- 5.1 An approved and paid spot is reserved for you for the whole of the event and is withheld from other applicants. If you do not attend, no refund and no credit is given.
- 5.2 If you cancel after approval, the payment is not refunded. Section 14 explains the limited circumstances in which a discretionary credit may be offered.
- 5.3 Arriving after load in has closed may mean you cannot be placed. That is treated as non attendance under 5.1. The same applies if you cannot produce a license, permit or proof of insurance that the venue or a public authority requires.
- 5.4 If you are refused entry or removed from an event for a reason set out in the Terms of Service, including a material misstatement in your application or a breach of the event rules, no refund or credit is given and the sale remains final.
- 5.5 A spot may not be transferred, shared or resold without the Organizer's prior written consent. A spot transferred in breach of that rule may be cancelled without refund.
6. Cancellation or postponement by the Organizer; refund or credit
If the Organizer cancels an event before it opens, for any reason, each holder of a paid vendor or sponsor spot for that event chooses either a full refund of the fee they paid for that event or a credit of equal value applicable toward a future event produced by the Organizer. For a purchase that covers several events, the fee for that event is its share under 6A.4. Tell us your choice by email, by replying to our notice, or through the form at stacksos.org/guarantee, within 7 days after the date the event was scheduled for or within 7 days of our cancellation notice, whichever is later. If we do not hear from you by then, you receive the credit, which you may still turn into a refund by asking before you use it. Credits are non transferable and have no cash value, except where your signed agreement converts an unusable credit to a refund. An approved refund goes back to the card you paid with and reaches it within 10 business days. Where an event is postponed rather than cancelled, paid spots carry over to the new date; if you tell us within 7 days of our notice that you cannot make the new date, the event is treated as cancelled for you and the same choice applies.
The same applies where the cause is outside the Organizer's reasonable control, including severe weather, a public health order, a venue closure, a power or network failure, or an act of a public authority. In those circumstances the refund or credit under this section is the remedy, and the Organizer is not liable for your other costs, including stock, staff, travel or accommodation. An event that opens and is then shortened or paused is not cancelled; section 6A.5 explains why it counts as delivered.
6A. Event Delivery Money-Back Guarantee and Repeat Event Booth Credit
We guarantee delivery of the event services your booking lists. If we do not deliver one by its deadline, you get your full vendor or sponsorship fee for that event back. This covers delivery only. Sales, leads, attendance and profits are not guaranteed, and we never refund a fee because a business did not do well. Slow sales at a vendor's first event are covered only by the Repeat Event Booth Credit in 6A.7, which is a booth, never cash.
- 6A.1 What is covered for vendors. The services a vendor booking lists, by these deadlines:
- your spot, at the size and type you bought (10x10 canopy, food truck or small vendor), ready for you to occupy by the published set-up time;
- your Vendor Packet (arrival instructions, hours, gate QR code, and the map where we have one), emailed to the address on your booking at least 48 hours before the event starts or, if your booking is approved or placed later than that, within 2 hours of its approval or placement;
- if you bought it, the 10x20 double space, ready by the set-up time;
- if you bought it, category exclusivity: no other vendor selling in your approved category at that event, all event long;
- if you bought it, premium placement: a location we call premium, ready by the set-up time;
- any sponsor perk your vendor purchase includes, by the deadline listed with it or, if none is listed, by the event's start on event day, except that a perk given during the event (such as an MC shoutout or an award) is due during the event's hours, and recap posts and recap videos are due within 14 days after the event.
- 6A.2 What is covered for sponsors. Each perk listed for your tier on the event page or purchase page (for the Annual, its purchase or deal page) when you bought it (logo, social posts, banner, booth, mentions and so on), by the deadline listed with that perk or, if none is listed, by the event's start on event day, except that a perk given during the event (such as an MC shoutout or an award) is due during the event's hours, and recap posts and recap videos are due within 14 days after the event. For the Presenting Partner Membership, the benefits that belong to a particular event (booth, entrance banner, MC shoutouts, and your logo on that event's flyer and page), within the limits the Sponsorship Agreement sets for each. A perk is delivered when it is provided substantially as listed.
- 6A.3 What you receive if we miss one. Your full vendor or sponsorship fee for that event, refunded to the card you paid with. A fee is what you actually paid, after any discount, for the spot or package and everything bought with it for that event. Each event's fee is refunded once, however many of its services were missed, and that refund is instead of, not on top of, any other refund or credit for the same fee.
- 6A.4 A purchase that covers several events. For a multi-event pack, the Annual, a monthly plan or a pass, the fee for one event is that event's share: the price divided by the number of events the purchase covers. The count is made this way: for the Vendor Membership, that month's fee divided by the events we booked you at that month; for the VIP Pass, its price divided by the events already held in its term plus those on our published calendar for the rest of it; for the Annual, its price divided by the events in its term at which we placed you; for a multi-event pack, its price divided by the events in the pack; for an add-on bought for a month or a pass, its price divided by the events it covers; for the Presenting Partner Membership, that month's fee divided by the events we scheduled that month. A refund is never more than you have actually paid for that purchase.
- 6A.5 What is not covered.
- Sales, leads, attendance, profits and weather.
- A miss caused by you: for example a logo or art sent after the date we asked for it, arriving after load in closes, a no-show, breaking venue rules, being removed from the event under the Terms of Service, or a Vendor Packet sent on time to a wrong email address you gave us.
- An event that opens and is then shortened or paused (a late start or an early close included) for weather, safety or the venue. That event is still delivered, as your signed agreement already says.
- 6A.6 How to claim. Within 7 days after the event (for a perk whose listed deadline falls after the event, within 7 days after that deadline), tell us which listed service we missed, through the form at stacksos.org/guarantee or by replying to any email from us. We answer within 3 business days. An approved refund goes back to the card you paid with and reaches it within 10 business days.
- 6A.7 Repeat Event Booth Credit (vendors only).
- Who. A vendor at their first eligible event with us: the first of our regular events at which they had any booth (including one through a membership, a pass or a credit). It qualifies only if they paid a booth fee for that booth, on its own booking or as part of a pass other than the VIP Pass (a multi-event pack, for example); a booth from a membership, the VIP Pass, a credit, a code that made it free, or an earlier booth credit has no booth fee and does not qualify.
- When. Your gross sales at that event (everything you took from customers, before costs and fees and not counting sales tax you collected) were less than the booth fee you paid, which is what you paid for the spot on that booking after any discount (for a multi-event pack or other pass, that event's share of what you paid for its spot, under 6A.4). Add-ons are not counted in the fee.
- What you must do. Be checked in at the gate, then set up and staff your booth for the full agreed event hours. Then, within 7 days after the event, send us a sales summary through the form at stacksos.org/guarantee or by replying to any email from us: your gross sales total, plus a screenshot from your card reader, Square or Clover, or a written tally. The summary must be true and complete.
- What you get. An equivalent booth (the same type and size, add-ons not included) at another eligible event held within six months after the first one. Eligible events are our regular events that take your category and still have an open spot of your booth type. A sold-out event is not available. Tell us which one you want and we book you there at no charge, with its Vendor Packet as for any booking.
- Fine print. Booth credit only; no cash refund and no cash value. One per vendor, ever. Not transferable. Not available for an event whose fee we refunded. A booth credit not used at an event held within those six months ends.
- 6A.8 Who this section covers. Every vendor and sponsor booking with the Organizer for an event held on or after the date this section was first published, including bookings submitted before that date and under an earlier version of this Policy or of a signed agreement. It adds to the agreement each person signed and never takes anything away. Where this section applies, it governs over sections 4, 5, 6 and 8 of this Policy to the extent they would give you less.
- 6A.9 What our badges mean. Wherever you see "Event Delivery Money-Back Guarantee" or "Repeat Event Booth Credit" on the Platform, in our decks or in our messages, it is a summary of this section, which is the full terms, also published at stacksos.org/guarantee. It is a promise to deliver the listed event services, not a promise about sales, leads, attendance or profits.
7. Merchandise: damaged, misprinted or incorrect items
- 7.1 Merchandise is produced to order after payment. Nothing is printed until you pay, so an order can only be cancelled before production starts.
- 7.2 If an item arrives damaged, misprinted, or materially different from what was ordered, contact us within 14 days of delivery with photographs. We will replace the item or refund it, at our election.
- 7.3 Size, fit, and a change of mind about color or design are not defects and are not grounds for a refund. Please check the size guide before ordering. Printed colors can vary slightly from what a screen shows.
- 7.4 Shipping costs are shown at checkout. Delays caused by the carrier, or by an incorrect or incomplete delivery address you supplied, are not grounds for a refund, although we will assist you in tracing an order. Risk of loss passes when the carrier takes the parcel.
8. Subscriptions, retainers and free trials
- 8.1 Subscription retainers are billed in advance at the start of each Billing Period and renew automatically until cancelled.
- 8.2 How to cancel. You may cancel at any time by emailing stacksprod@gmail.com from the address on the subscription, or by replying to any of our emails, and asking us to cancel. We action cancellations promptly and confirm them by email. Cancellation takes effect at the end of the then current Billing Period. Where the plan's own terms set a notice period (the Vendor Membership: 30 days before the renewal date, from version 2026-10-21 of the Vendor Agreement), a cancellation sent inside that notice period takes effect at the end of the following Billing Period, and that one renewal is still charged. No refund, credit or proration is given for the unused remainder of a Billing Period.
- 8.3 Where a free trial is offered, your card is placed on file and no charge is made during the trial period. The subscription converts to a paid subscription automatically at the end of the trial unless you cancel before the trial ends. The length of the trial, and the price that applies when it ends, are disclosed before you subscribe, and the checkout page identifies when your first charge will occur.
- 8.4 Where an introductory discount is offered, it applies only to the period disclosed at signup, after which the standard price disclosed at checkout applies. Continuing past that period is acceptance of the standard price.
- 8.5 Cancelling is your responsibility and operates from the date you ask us to cancel, not retroactively. A renewal or a trial conversion that occurred because you did not cancel in time is not refunded. If you did ask us to cancel and we failed to action it, tell us and we will correct it, including refunding a charge that should not have been taken.
- 8.6 A retainer buys the scope described in your plan for that Billing Period. Unused capacity in a period does not roll over and is not refunded.
9. Courses and digital content
- 9.1 A course lesson is delivered the moment it is purchased, and the date and time it was unlocked to your account is recorded. Once unlocked, it is not refundable.
- 9.2 Course content is educational and is not a guarantee of any particular result, income or outcome. Dissatisfaction with the result you achieved is not grounds for a refund.
- 9.3 Access is personal to you. Sharing, reselling or redistributing lessons may result in access being withdrawn without refund.
10. Free entries and car show registrations
- 10.1 Some lanes are free, including car show registration. No payment is taken and no Authorization Hold is placed, so no refund can arise. A free entry is still an application, is still accepted by ticking the agreement box, and is still recorded under section 13.
- 10.2 A free entry is a request to be considered. It is confirmed only when you receive an approval with your gate credential, and a declined or unconfirmed entry gives no right to attend or to compensation.
- 10.3 Joining a waitlist reserves nothing and places no hold. A waitlist place becomes a spot only when we send an approval or a payment link and payment is completed.
11. Raising a billing concern: contact us first
If something about a charge looks wrong to you, tell us. Most billing questions are resolved the same day, and we would far rather fix it directly than have it become a dispute.
- 11.1 You agree that, before initiating a dispute or chargeback with your bank or card issuer, you will first contact the Seller at stacksprod@gmail.com, describing the charge and your concern, and will allow the Seller seven (7) days from the date of that message to review and respond.
- 11.2 Please include the email address used at checkout, the approximate date and amount of the charge, and the event, item or plan it relates to. That is normally enough for us to locate the record within minutes.
- 11.3 Initiating a dispute without first contacting the Seller and allowing that seven day period is a breach of this section. It is taken into account in deciding whether to offer future service, and it is stated plainly in the evidence the Seller submits.
- 11.4 If the charge is one we should not have taken, we say so and we correct it. That is what this route is for.
12. Payment disputes and the record we submit
- 12.1 Initiating a chargeback or payment dispute in respect of a service that has been delivered, a spot that was approved and provided, or content that has been unlocked, does not create a right to a refund under this Policy.
- 12.2 The Seller contests such disputes and submits evidence to the payment processor, the card networks and your card issuer, including the record described in section 13, the exact sentence you ticked and the version of the documents you accepted, order and application records, correspondence, delivery records and, where applicable, signed documentation.
- 12.3 You agree that the records described in section 13, together with the payment processor's own records, constitute evidence of the transaction and of your agreement to this Policy and to the Terms of Service, and you consent to their disclosure to the payment processor, the card networks and your card issuer for the purpose of resolving a dispute.
- 12.4 Where a dispute is resolved in the Seller's favor, or is withdrawn after being raised, you remain responsible for the original amount together with any dispute fee or administrative fee the payment processor charges the Seller in connection with it, and any reasonable costs of collection, to the extent permitted by applicable law.
- 12.5 If you raise a payment dispute in respect of a spot and you, your business, or anyone in your party then attends the event, occupies the spot, or uses a credential issued to you, that attendance is evidence that the service was delivered. The Organizer may remove you and your party without refund and may seek the amount due together with any fees under 12.4, to the extent permitted by applicable law. Gate credentials record the date and time of entry.
- 12.6 Accounts and businesses associated with abusive or bad faith disputes may be refused future applications, orders and subscriptions.
- 12.7 Nothing in this section removes or limits any right you have under applicable law, or under your card issuer's own rules, to raise a dispute. This section sets out what you agree to do first, what the Seller will do in response, and what you remain responsible for as between you and the Seller.
13. The record we keep
So that there is no ambiguity about what was agreed and when, the Platform keeps a record of every submission. Depending on what you bought or entered, that record includes:
The acceptance itself
- the exact sentence you ticked, stored word for word as it appeared on your screen;
- the version of this Policy and of the Terms of Service that were live at that moment, each identified by its "Last updated" date and version number;
- the date and time of the acceptance, taken from the Seller's own systems rather than from your device;
- the email address you gave, and the application or entry the acceptance belongs to;
- the amount that was displayed to you at that moment;
- the page address you were on, the browser identifier your device sent, and the network address the submission arrived from together with the source of that address, where our host provides them.
The transaction and the delivery
- the date and time your application, order, entry or subscription was received;
- the business name, Instagram handle, email address and telephone number you submitted, and your answers to the application questions;
- the event, spot type and amount that applied to your submission;
- the date and time the Authorization Hold was placed, and the payment processor's own record of the checkout session and the authorization;
- the date and time your application was approved or denied, and any reason given;
- the date and time your confirmation email and instruction packet were sent;
- your gate credential and, if it was scanned, the date and time you were checked in at the event;
- for course purchases, the date and time each lesson was unlocked to your account.
The acceptance record is appended, never edited and never deleted. If a correction is needed, a new record is added and the original stays as it was. These records are retained for as long as they may be needed to resolve a dispute or to meet a legal or tax obligation. How personal information is handled generally is described in the Privacy Policy.
14. Discretionary goodwill
Nothing in this Policy prevents the Seller from offering a refund or a credit in a particular case where it considers that fair. Any such offer is made at the Seller's sole discretion, is specific to the instance in which it is made, is not an admission, and does not create a right, an obligation or a precedent for any other customer or any future transaction.
15. Statutory exceptions
Nothing in this Policy excludes, limits or modifies any right or remedy you have under applicable law that cannot lawfully be excluded, limited or modified, including any non waivable consumer protection right and any right you have under the rules of your card issuer or the card networks. Where such a right applies, this Policy operates subject to it, and the remainder of this Policy remains in effect to the fullest extent permitted.
16. Changes to this Policy
This Policy may be updated. The "Last updated" date and version number at the top identify the current version. Changes apply to submissions made on or after the date they are published and do not change the policy that applied to a submission you already made. The version that governs your transaction is the version in effect on the date you submitted it, which is the version recorded against your acceptance under section 13. There is one exception, because it only adds to your rights: section 6A, and the choice of a refund or a credit in section 6, apply to every vendor and sponsor booking for an event held on or after the date they were first published, whichever version of this Policy you accepted.
17. Governing law and venue
This Policy is governed by, and construed in accordance with, the laws of the State of Arizona, United States, without regard to its conflict of laws principles. The exclusive venue for any dispute arising out of or relating to this Policy is the state or federal courts located in Maricopa County, Arizona, and you consent to the personal jurisdiction of those courts. The jury and class action waivers, the one year limit for bringing a claim, and the other general provisions in section 24 and section 26 of the Terms of Service apply to this Policy as well. If any provision of this Policy is held unenforceable, the remainder stays in full effect.
